For operators, facilities and finance teams

One spreadsheet becomes ten. Then it breaks.

Controlbook is a live asset register built for FF&E at scale — every item with its spec, supplier, location and lifecycle data, secured per property, and queryable the moment something breaks.

  • Row-level security so each site sees only its own assets
  • Spec, supplier, fire rating and finish on every record
  • From 'reported broken' to 'order placed' in under an hour

How to use this tool

  1. 1Add each asset with a name, category and location.
  2. 2Enter the purchase cost, purchase date and useful life in years.
  3. 3The register computes straight-line book value as at today automatically.
  4. 4Export the complete register to CSV for your records or audit.

What is an asset register?

An asset register is the definitive list of what an organisation owns — fixed assets, equipment and furniture — with the detail needed to account for, locate and maintain each one. At minimum it records an asset's identity, category, location, cost and acquisition date; a good one also tracks useful life and current value so depreciation and replacement planning fall out of it.

This generator gives you that structure immediately. Add assets, classify them, place them, and the tool calculates straight-line book value as at today from the cost, purchase date and useful life you enter — so the register is live, not just a static list. Everything stays in your browser and persists between visits.

Export to CSV whenever you need a copy for finance, insurance or an audit. It is a practical free alternative to a fixed-asset register template — and a clear illustration of why, once an estate grows beyond one spreadsheet, a purpose-built asset platform earns its place.

Frequently asked questions

What should an asset register include?

At minimum: a unique identifier or name, category, location, purchase cost and acquisition date. Adding useful life lets you track depreciation and current book value, and notes on supplier or condition make it far more useful for maintenance and replacement planning.

How is current book value calculated?

The tool uses straight-line depreciation: it spreads the cost (less any residual) evenly across the useful life and reduces the value by the time elapsed since purchase, never falling below zero. It updates as you change the inputs.

Can I use this for an ISO 27001 or IT asset register?

The structure suits any fixed-asset or equipment register, including IT assets. For ISO 27001 you'll typically add information-classification and owner fields — record those in the notes, or move to a dedicated register as the estate grows.
